Best Fleet Management Software for Small Businesses: Fleetio
We recommend Fleetio as the best fleet management software for small businesses because of its range of features and competitive price.
Fleetio enables your business to automate fleet operations, oversee and manage the lifecycle of your fleet’s assets, and track your drivers. You can track, grade, and rank your drivers based on their performance as well as manage the maintenance, fuel consumption, and inspections of the vehicles they drive. Finally, fuel cards can be automated and integrated with various third-party solutions for automatic odometer updates, diagnostic trouble code (DTC) handling, and reporting.
TomTom Webfleet is one of the most popular fleet management software on the market, but it functions primarily as a GPS tracking tool. Where Fleetio excels is that it offers a more comprehensive range of features, such as maintenance and service monitoring, in addition to its GPS tracking.
Maintenance management is enhanced by Fleetio’s inventory management features, which allow you to log your current spare parts, such as tires and tools. Businesses can track their parts from purchase to storage to usage, giving them visibility into what they have available, what may need re-ordered, and the expected lifecycle of their fleet’s parts inventory. This helps to reduce vehicle downtime and makes purchasing more efficient.
Fleetio offers both a web-based interface and mobile app so you can manage your fleet from your office or on the go, including the ability to affix bar or QR codes to your inventory and scan them through the mobile app. Developer APIs also allow Fleetio to integrate with third-party applications such as QuickBooks and Xero. We also found Fleetio’s user interface to be the most modern and user friendly of the software we reviewed.
One significant feature that Fleetio lacks is the ability to use it as a routing and dispatching tool to help optimize the time your fleet is on the road. This is where TomTom Webfleet excels.
Best Fleet Management Software for GPS Routing: TomTom Webfleet
We recommend TomTom Webfleet as the best fleet management software for GPS routing. Given TomTom’s pedigree in consumer GPS hardware, it should be no surprise that their Webfleet product for businesses excels at the dispatching and routing features that take advantage of it.
Dynamic dispatching gives you your drivers’ status, location, and estimated time of arrival (ETA) to their destinations. This enables you to identify the most suitable driver for your next jobs and assign them accordingly by sending instructions directly to their driver terminal. You can even identify the most efficient route to get them there, including real-time traffic and construction updates, saving your business time and money — not only in driving time, but also in fuel costs.
As well, with hundreds of third-party app integrations available and developer APIs, TomTom Webfleet offers an extensive range of solutions to incorporate the software into all areas of your business from fleet management to business and productivity. This allows for a greater degree of customization and flexibility than either Fleetio or Fleetmatics Reveal can offer as their available integrations mostly focus just on accounting software.
Where we found TomTom Webfleet lacking was in the depth of its inventory management features, which help to inform scheduled and ad hoc vehicle maintenance. As well, some users have reported challenges in receiving timely customer support.
Alternative Fleet Management Software: Fleetmatics Reveal
Backed by the power of Verizon, Fleetmatics Reveal offers a good range of features to help you manage your fleet of vehicles as well as track and optimize the routes of your drivers. Like TomTom Webfleet, Fleetmatics Reveal gives you the ability to monitor your drivers and calculate the most efficient routes in real-time — a significant feature that Fleetio lacks.
However, other than route planning, Fleetmatics Reveal does not offer the same range of features that TomTom Webfleet and Fleetio do. And like TomTom Webfleet, online reviews of their customer support are mixed at best.

Fleetio offers a straightforward pricing plan with the choice between two packages, Pro and Advanced. Their Advanced package is $6/month per asset and adds work orders, inventory tracking, purchase orders, parts management, and their parts mobile app.
For the purposes of this review, we have focused on Fleetio’s Advanced plan.
