QuickBooks Free and Wave both offer free accounting, but they serve different needs. QuickBooks Free is better for solo businesses that want automatic bank feeds and basic bookkeeping automation, while Wave is better for freelancers who need unlimited invoicing and bookkeeping records. The key trade-off is simple: QuickBooks Free offers more automation, while Wave has fewer usage limits.

Why you can trust Fit Small Business

I have over a decade of experience in finance and hands-on bookkeeping experience across different industries. As a QuickBooks Online ProAdvisor and Xero Advisor, I’ve set up accounting systems, managed bank reconciliations, accounts payable and receivable, and prepared monthly financial reports for US and international businesses.

For this comparison, I looked beyond the fact that both products are free and focused on how their limitations affect real bookkeeping workflows. I paid particular attention to bank feeds, invoicing, transaction management, reporting, and the amount of manual work required — because these differences can have the biggest impact on a small business owner’s time.

How I evaluated QuickBooks Free vs Wave

I compared QuickBooks Free and Wave Starter based on the features that matter most to freelancers and very small businesses looking for free accounting software. I focused on:

  • Pricing: Whether you can realistically run your books at $0 or quickly need to pay for an upgrade or add-on.
  • General accounting: Whether you can record everyday income, expenses, bills, and other transactions and maintain accurate books.
  • Banking and expense management: How much work it takes to bring bank transactions into your books, categorize expenses, and keep records such as receipts.
  • Invoicing and accounts receivable: Whether a freelancer or consultant billing several clients each month can create invoices, track payments, and manage outstanding balances.
  • Reporting: Whether you can easily check essential information, such as whether your business is profitable and what it owns and owes.
  • Ease of use: How quickly a business owner can complete routine bookkeeping. I especially considered features that reduce manual work, such as automatic bank feeds.
  • Customer support: What help is available when you encounter a problem, particularly without upgrading to a paid plan.
  • Integrations and scalability: Whether the software can continue supporting you as you add services, users, accounts, or more advanced accounting needs.
  • Mobile app: How well you can handle basic tasks away from your computer, such as sending an invoice, checking business activity, or capturing a receipt.

I also considered how each product performs in real-world bookkeeping. This includes how much manual work is required, how restrictive the free-plan limits are, and when a growing business would likely need to upgrade.

For an apples-to-apples comparison, I evaluated Wave Starter rather than Wave Pro, since both Wave Starter and QuickBooks Free cost $0 per month.

Use cases

QuickBooks Free works well for a newly launched solo business with light activity. For example, if you're a consultant with one business checking account, only a few monthly expenses, and one or two clients to bill, you can connect your bank and keep basic books without paying for accounting software.

Once you start billing more clients, adding bank or credit card accounts, or working with an accountant, its limits become more noticeable.

Choose QuickBooks Free if you run a simple solo business and want your bank transactions imported automatically for free.

Best alternatives to QuickBooks Free vs Wave

QuickBooks Free and Wave are strong options if keeping software costs at $0 is the priority, but their free plans have limitations that may not work for every business.

Pricing: Tie

QuickBooks Free and Wave Starter both cost $0 per month, making either a good option for businesses that want to avoid a monthly accounting software subscription. Neither offers a free trial, so you can continue using the free plan as long as it meets your needs.

The bigger difference isn't the price — it's what you get for $0. QuickBooks Free includes some automation but imposes tighter usage limits, while Wave allows more invoicing and bookkeeping activity but reserves certain automation features for its paid plan.

💡My take: Pricing alone is a tie. The better value depends on whether you prioritize QuickBooks Free's bank automation or Wave's fewer usage limits.

General accounting: Wave wins

Wave is stronger for core accounting because its free Starter plan supports unlimited bookkeeping records and bills, giving businesses more room to maintain complete books without upgrading. QuickBooks Free handles basic income and expense tracking well, but its free plan is more limited overall.

Why Wave wins

Wave is more practical if you need to record regular business activity without worrying about usage caps. For example, a freelancer with dozens of expenses, several vendor bills, and multiple client payments each month can continue keeping those records in Wave Starter without hitting a monthly bookkeeping limit.

QuickBooks Free is still capable for very small businesses, but it works best when transaction volume is light.

💡My take: I’d choose Wave for maintaining fuller books at no cost, while QuickBooks Free is better suited to a solo business with only a small number of monthly transactions.

Banking & expense management: QuickBooks Free wins

QuickBooks Free has the advantage because it lets you connect one bank account and automatically import transactions at no cost. Wave Starter can still handle bookkeeping records, but automatic bank transaction imports and categorization require Wave Pro.

Why QuickBooks Free wins

For a solo business owner using one checking account, QuickBooks Free can reduce manual work by bringing transactions into the software automatically. Wave Starter is less convenient here because bank-feed automation is reserved for its paid Pro plan.

QuickBooks Free's expense management

QuickBooks Free automatically sorts business and personal transactions.

💡My take: I’d choose QuickBooks Free if most of my business activity runs through one bank account. Even with its limits on receipts and mileage, automatic transaction syncing can save more time than entering or importing bank activity manually.

Invoicing & accounts receivable: Wave wins

Wave is the better choice for businesses that invoice clients regularly because its free Starter plan includes unlimited invoices and estimates. QuickBooks Free is much more restrictive, allowing only two invoices and one estimate per month under its standard free allowance.

Why Wave wins

Wave is more practical for freelancers and service businesses that bill several customers each month. For example, a freelance designer sending 10 invoices monthly can continue using Wave Starter without hitting an invoice cap, while the same business would quickly outgrow QuickBooks Free.

💡My take: I’d choose Wave if invoicing is a major part of the business. QuickBooks Free makes more sense when you only send an occasional invoice and value its banking automation more than invoicing volume.

Reporting: Tie

Both QuickBooks Free and Wave Starter provide the core financial reports most freelancers and very small businesses need to monitor their finances. QuickBooks Free includes profit and loss and balance sheet reports, while Wave Starter also covers these essential financial statements.

Both QuickBooks Free and Wave Starter provide the core financial reports most freelancers and very small businesses need to monitor their finances. QuickBooks Free includes profit and loss and balance sheet reports, while Wave Starter also covers these essential financial statements.

Both platforms give small business owners enough reporting to answer the basics: Am I making a profit, and what does my business own and owe? Wave provides additional reporting options, but that doesn't necessarily make its core financial reporting better.

💡My take: I wouldn't choose between QuickBooks Free and Wave based on basic reporting alone. Both cover the essentials, while Wave is worth considering if you want to dig further into your accounting data without upgrading.

Ease of use: QuickBooks Free wins

Both platforms are relatively easy to navigate, but QuickBooks Free has an edge because it can automatically import transactions from one connected bank account. Wave Starter requires more manual work since automatic bank transaction imports are reserved for Wave Pro.

Why QuickBooks Free wins

Automatic bank feeds can make a significant difference in everyday bookkeeping. Instead of manually entering or importing bank activity, QuickBooks Free brings transactions from one connected account into the software for review and categorization.

💡My take: I prefer QuickBooks Free here because the automatic bank feed saves me time. As a bookkeeper, I'd rather review and categorize imported transactions than spend that time manually bringing bank activity into the software. For a solo business owner handling their own books, I see that as a practical advantage.

Customer support: Tie

Both free plans provide self-service resources for users who need help, but access to direct human support is more limited than what you would typically get with a paid accounting plan.

Why it's a tie

Neither free plan stands out enough in direct customer support to give it a clear advantage. Both are better suited to users who are comfortable finding answers through help articles and other self-service resources.

💡My take: I wouldn't use customer support as the deciding factor between the two. Since these are free products, I expect more limited support and would focus instead on which platform makes my everyday bookkeeping easier.

Integrations and scalability: QuickBooks Free wins

QuickBooks Free has the advantage for businesses that expect their accounting needs to grow. While both free plans are designed for simple businesses, QuickBooks provides a broader ecosystem of accounting, payroll, payments, and other business tools when you're ready to move beyond the free plan.

QuickBooks gives businesses a clearer path as their accounting becomes more complex. A solo consultant, for example, might start with QuickBooks Free and later need more users, additional bank accounts, accountant access, or advanced accounting features. Instead of looking for an entirely different accounting platform, they can move into a paid QuickBooks Online plan.

💡My take: I like QuickBooks Free as a starting point for a new business that expects to grow. You can learn the QuickBooks environment while your bookkeeping is still simple and move to a more capable QuickBooks plan when the free version no longer meets your needs.

Mobile app: QuickBooks Free wins

Both platforms provide mobile access, but QuickBooks Free offers more useful tools for a business owner who frequently works away from a computer. In addition to checking business activity and creating invoices, QuickBooks Free includes limited receipt capture and mileage tracking.

Why QuickBooks Free wins

QuickBooks Free gives mobile users a little more functionality without requiring a paid subscription. For example, a consultant can photograph an occasional business receipt or track a client-related trip directly from the app.

💡My take: I prefer QuickBooks Free for mobile use because receipt capture and mileage tracking are practical tools when I'm away from my desk. The monthly limits are low, but having these features available is still useful for a solo business with light activity.

My expert evaluation of QuickBooks Free vs Wave

Overall, I prefer QuickBooks Free for solo businesses that value automation and Wave for freelancers that need fewer usage limits. QuickBooks Free stands out because its automatic bank feed can reduce repetitive bookkeeping work, while Wave gives users more flexibility with unlimited invoicing and bookkeeping records.

From a bookkeeping perspective, I place a lot of value on anything that reduces manual data entry. That is why QuickBooks Free's automatic bank connection is a meaningful advantage for me, especially for a solo business using only one checking account. However, the two-invoice monthly limit and other usage caps make it easier to outgrow than Wave.

Wave is the more practical choice if you regularly invoice clients or expect your bookkeeping volume to increase but still want to remain on a free plan.

  • Choose QuickBooks Free if saving time through automation matters most.
  • Choose Wave if you need more room to invoice and maintain your books without monthly usage limits.

When should you upgrade from QuickBooks Free or Wave?

Free accounting software works well when your business is simple, but saving on subscription costs isn't always worth the additional work or restrictions.

Consider upgrading when:

  • You're regularly hitting usage limits. Sending more than two invoices monthly, for example, can make QuickBooks Free impractical.
  • You have multiple bank or credit card accounts. A single automatic bank connection may no longer be enough as your business grows.
  • Manual bookkeeping takes too much time. Wave Starter may become less attractive if you're spending hours manually managing transactions that Wave Pro could import automatically.
  • You hire a bookkeeper or accountant. Collaboration becomes more important once someone else needs regular access to your books.
  • You need more detailed accounting features. Growing businesses may eventually need stronger reporting, automation, user controls, or other functionality unavailable in the free plans.

Frequently asked questions (FAQs)

Is QuickBooks Free really free?

Yes. QuickBooks Free costs $0 per month and isn't a temporary free trial. However, it has usage limits, including one connected bank account, two invoices per month, and one user.

Which is better, QuickBooks Free or Wave?

QuickBooks Free is better if you value automatic bank feeds and less manual bookkeeping, while Wave is better if you need unlimited invoicing and bookkeeping records. The better choice depends on which matters more to your workflow.

How many invoices can I send with QuickBooks Free?

QuickBooks Free normally allows two invoices per month. Eligible businesses that sign up for QuickBooks Payments can send unlimited invoices, although payment processing fees apply.

Can I connect my bank account to QuickBooks Free?

Yes. QuickBooks Free lets you connect one bank account and automatically import transactions. This is one of its biggest advantages over Wave Starter, which requires Wave Pro for automatic bank transaction imports.

When should I upgrade from QuickBooks Free or Wave?

Consider upgrading when the free plan starts creating extra work or restricting normal business activity. For example, you may outgrow QuickBooks Free when you need more bank accounts, invoices, or users. With Wave, an upgrade may make sense when you want automatic bank feeds, receipt scanning, or additional users.
